The Alliance for International Medical Action (ALIMA) is an independent medical aid organization based in Dakar, Senegal. ALIMA has three principal areas of expertise: providing medical care in humanitarian crises, supporting the development of national medical organizations, and conducting operational research to bring medical innovation to the field.
We are seeking to recruit dynamic and suitably qualified and experienced Nigerians for our Lassa Fever Emergency Medical Response Project, to fill the positions below:
1. Job Title: Logistics Supervisor
Code: LS039
Location: Abuja
Level: 6
Report to: Logistics Manager Desk Nigeria
Report to (functional): Logistics Manager Desk Nigeria
Area: Logistics
Contract Duration: 6 months (with possibility of renewable).
Main Purpose
• He/she shall be responsible for assisting in the running of all components of Logistic & Supply at the Desk level under the direct supervision of Desk Logistic Manager.
• He/she will ensure logistic support on daily basis required for global Desk activities related to supplies, fleet management & other related needs
• Provide also assistance for specific requests submitted by logistics coordination and authorized by the Desk logistics manager.
Essential Functions
• He/she will entertain & process all the procurement & stock request coming from different departments at Desk level. And ensure all procurement documentation as per ALIMA Standards & Proper archiving is done for each request. Same for timely payment of all suppliers/vendors and service providers with correct documentation as per ALIMA financial and procurement standards.
• He/she will ensure proper stock management under standard procedures of all consumables for office and guest house needs to avoid out stock situations of different supplies.
• He/she will be responsible for handling of all Cargo & Supplies coming at international level, received locally from the suppliers or from/to the field, review all the waybills, packing list and delivery notes.
• He/she monitor maintenance activities of infrastructures and equipment (specifically ALIMA assets) and ensure adequate traceability of all actions.
• He/she will assist Desk Logistic manager in ALIMA property management by ensuring assets checklist is regularly updated & tagged for Abuja office and guest house. Assume an adequate management of goods according to standards of the organization.
• He/she will assist Desk logistics manager in security management in all ALIMA premises in Abuja by strictly implementing ALIMA access control policy, by supervising watchman in the performance of their jobs on daily basis. A weekly report on this security issue and movements should be submitted in time.
• According to organogram, he/she will supervise all the staff under his responsibility according to ALIMA HR policy including setting up their objectives, performance evaluations, leave management and technically supporting them in their job.
• Supervises and coordinates activities of workers (outsource) engaged in setting up, installing, repairing, and maintenance works to ensure the completion of repair, maintenance & Installation in accordance with service agreement or contract.
• He/she is responsible for identifying the maintenance works needed in different ALIMA premises, and liaise with his manager for necessary actions to complete required work in timely manners.
• He/she will be responsible for refuelling of all generators, keep all records (log sheet, stock report).
• He/she will prepare monthly fuel reports for generator and movements records grids for payment of rental vehicles uses.
• He/she responsible to make a monthly roaster for all watchman and arranging watchman back up in case of leave, sickness or other matters.
• He/she need to assume weekly or bi-monthly meetings with drivers and watchmen, produce brief record of them. Useful information to be insert in the monthly report.
• He/she will participate to monthly report by providing all useful data and information.
• He/she to undertake any other duties, relevant to his/her skills, which may from time to time be deemed necessary.
Qualification Requirements
Educational Requirement:
• Graduate of Business Administrations, Logistics or related field.
Experience:
• Past experience in a similar role for 3 years including at least one with INGO/NGO. Multi-sectoral logistics skills will be strongly considered.
Languages:
• Good English language skill (Reading, Writing & Speaking). Native and/or French are assets
Computer Skill:
• Essential computer literacy (word, excel (database))
Aptitudes & Competencies:
• Capacity to work under stress, flexible, good team player, high level of integrity & honesty, patient and strong communication skills.

2. Job Title: Purchaser
Location: Askira-UBA, Borno
Level: 5
Report to: Logistics Manager
Report to (functional): Logistics Manager
Area: Logistics
Contract Duration: 3 months, renewable.
Job Summary
• The purchaser, under the direct supervision of the Logistics Manager, is responsible for procurement activities in Askira/UBA.
• He/ She has to plan, organize procurement activities in compliance with ALIMA procedures and ensure timely delivery, reception and dispatching of goods as required.
Responsibilities and Tasks
Purchasing:
• Establish and maintain good contacts with different suppliers and avoid purchasing from very limited number of suppliers without checking prices, quality, guarantees and services on a regular basis.
• Negotiate good prices and possible needed quantities of desired items for the future.
• Ensure guaranteeing for a long period of time for all items of a certain price according to protocols.
• Suggest possible changes in purchase order using previous experience and possible information from the market, i.e. big quantity of specific item purchased recently, better quality or better prices of specific item arriving soon to local market, when not urgent.
• Check in advance status of all boxes, packages and items purchased.
• Deliver goods to logistics department upon return and give feedback to line manager regarding purchased done and pending ones.
• Process purchase orders, ensures all related information is available in the local database
• Negotiate and purchase: spot purchase, obtain quotations, tender;
• Negotiate purchase conditions and purchase all specific goods and services as specified in the requests
• Visit and prospect suppliers, select and evaluate their legality
• Monitor the delivery of procurement requisitions, verifying receipt and inspection of deliverables, and performing follow up actions to ensure supplies reach the desired operations
Administration:
• Collect all purchase orders from line manager and get information regarding priorities.
• Complete purchase orders and check delivery notes, when needed.
• Prioritize payment as much as possible by bank transfer
• Ask for needed amount of money by finance department and get authorization by line manager.
• Manage correctly money and close advances issued by finance department at the end of each day.
• Collect enough quotations for all items depending on ALIMA protocols.
• Ensure that complete and official receipts or invoices and delivery notes are always given upon payment and that they reflect exact quantity requested and amount of money spent.
• Update, manage and maintain relevant databases and records, to ensure the information is accurate, organized, and available for others to access, and supports reporting requirements;
• Maintain good filing system for Internal Request files, suppliers’ files, products’ files;
Maintenance:
• Keep areas of purchaser area clean and tidy.
Equipment:
• Look after all equipment provided.
• Ensure correct use of extinguishers as well as know where they are located.
Reporting:
• Ensure that line manager is informed of any problems that might be linked to items purchased or items required to be purchased.
Others:
• Be aware of any document regarding detailed responsibilities of purchaser (ex. correct way of filling in Purchase Orders, Supplier Purchase Orders, Price limits per item needing authorization).
• Participate in meetings and possible trainings.
• Assist line manager to clarify problematic requisition orders
• Perform any other task incidental to the above as required.

3. Job Title: Nursery Supervisor
Location: Askira-UBA, Borno
Reports to: Nurse Activity Manager
Reports to (Functional): MedRef
Responsible for: Ward In-charges, Nurses
Contract Duration: 3 months, renewable.
Main Job Objectives
• To supervise the overall management and ensure the smooth running of nursing activities, including the supervision of nurses, nurse assistants and paramedic helpers, in order to ensure 24/7 good quality nursing care of patients admitted in ALIMA health program, in collaboration with the doctors and respecting a protocols & guidelines.
Job Description
Staff Supervision:
• Assign duties and coordinate nursing service.
• Updates monthly roster at least 10 days before the end of the month.
• Ensure safety and hygienic working conditions for the staff (know procedures in the case of accidental blood exposure)
• Ensure triage of patients in waiting areas, detecting the priority acute/emergency cases, carrying out first aid care when needed and referring to the doctor.
Managing patient flow:
• Ensure patients are properly received and installed into health services. Ensure patients with lack of autonomy are assisted.
• Ensure systematic follow-up of non-attending patients.
• Instruct professional and paraprofessional nursing staff about policies and procedures.
• Evaluate nursing activities to ensure a good patient care, good staff relations, and efficiency of service.
• Plan department workflow and determines priorities
• Observe nursing care (check that nursing care is carried out as directed, treatment administered in accordance with physician’s instructions) and provide direct care as needed
• Ensure cleanliness of clinics and adherence to Universal Precautions.
• Maintain and promotes standards of nursing;
• Instruct preparation and maintenance of patients’ clinical records.
• Identify staff development and training needs;
• Monitor the use of diagnostic services to ensure effective use of resources.
• Structure and equipment:
• Manage the availability, correct use and maintenance of medical supplies, equipment and clinic premises
• Ensure that the infrastructure is maintained in good conditions
• Report any problem to his/her direct supervisor
• Supervises the regular maintenance of the clinics
• Human Resources Management Follow up of hospitalized patients:
• Technical referent if required in the selection of new nurses, Assist in the evaluation and professional development of nursing personnel
• Investigate and resolves complaints, or refers unusual problems to his/her direct supervisor.
• Reporting:
• Incident report related to nursing activities shall be registered in a special book.
• Monthly data collection for patient referrals, patient education sessions, doctor and nurse consultations, and missed appointments
• Monthly data collection on number of dressings done.
Other activities:
• Attendance at weekly medical and project meetings
• Cover the gap of nurse when required in the project.
• Any other task as deemed necessary by the supervisor but in line with overall job responsibilities.
